Strengthening Academic Discipline & Quality Improvement

The Attendance and Feedback Committee is established to ensure effective monitoring of student attendance and to facilitate a structured feedback mechanism for continuous academic and institutional improvement. The policy promotes student participation, academic discipline, and quality enhancement in teaching-learning processes.

PURPOSE

Academic Discipline and Continuous Improvement

The committee ensures effective attendance monitoring and a structured feedback system for improving academic quality, teaching-learning effectiveness, student participation, and institutional performance.

SCOPE

Applicable Stakeholders

This policy applies to all students, teaching faculty, and relevant administrative staff of Aeren College of Commerce & Management.

PART A

Attendance Policy

The attendance policy ensures regular monitoring, accurate record maintenance, student counselling, and compliance with applicable university and institutional guidelines.

Minimum Attendance Requirement

Students are required to maintain a minimum attendance of 75% in each subject as prescribed by applicable regulations of the affiliating university and governing authorities.

  • Attendance shall be monitored regularly by faculty members.
  • Records shall be reviewed periodically by the committee.
  • Shortage may affect examination eligibility as per rules.

Attendance Records

The college shall maintain accurate and updated attendance records for all courses and subjects.

  • Records may be verified through the prescribed procedure.
  • Periodic reports may be shared with students and parents.
  • Attendance data shall be maintained for review.

Medical Leave

Students seeking medical leave must submit required documents for review by the concerned authority.

  • Written leave application.
  • Valid medical certificate.
  • Certificate issued by a registered medical practitioner.

Special Circumstances

Leave may be considered for genuine and unavoidable circumstances with relevant supporting documents.

  • Family emergencies or bereavement.
  • Participation in approved activities.
  • Other genuine unavoidable circumstances.

Monitoring and Counselling

Students with low attendance may be counselled and advised to improve regularity.

  • Periodic review by the committee.
  • Student counselling for improvement.
  • Parents or guardians may be informed when required.

Appeals and Exemptions

Students unable to fulfil attendance requirements due to valid reasons may submit a written appeal to the Principal through the Attendance and Feedback Committee. The appeal must include relevant supporting documents. The committee shall review the case and make recommendations to the Principal. Final decisions shall be taken in accordance with university regulations and institutional policies.

Feedback shall be collected periodically through online or offline modes.

  • Confidentiality shall be maintained.
  • Impartiality shall be ensured.
  • Standardised forms may be used.

Analysis and Reporting

Feedback received shall be analysed and compiled into summary reports.

  • Reports shall be presented to the Principal.
  • Findings may be shared with IQAC and departments.
  • Recommendations shall be documented and monitored.

Departments and concerned authorities shall review feedback reports and initiate corrective actions wherever necessary.

Periodic Review and Compliance

This policy shall be reviewed periodically by the college management and the Attendance and Feedback Committee to ensure alignment with university regulations, statutory requirements, and institutional objectives.
